Collection Management Procedures: Fund Codes

Fund Code List

Fund Codes

Click here for current list of fund codes (on website)

Fund codes are not entirely consistent because they have evolved over time.

Some represent departments, some represent programs, some represent funding source.

In Sierra

The FUND NAME
is made of the BASE FUND CODE [dash] SOURCE ACCOUNT [dash] MATERIAL TYPE

Example:  MAT-MAT-Books = Math Department - Materials Budget - Books

The FUND CODE
is made of a number representing the ACCOUNT, the BASE FUND CODE, and a letter representing MATERIAL TYPE

Example: 1matb = Materials Budget, Math Department, Books

They are different because of character limitations in the fund code and because of how Sierra displays lists.

Some views sort by fund code (which groups budgets) and some views sort by fund name (which groups subjects).

The external fund field represents the FOPAL in Banner.

If we exported our vouchers for electronic transfer to Banner, these would have to match the Banner system.

They are also printed on vouchers.

CHECKLIST FOR CREATING NEW FUND CODE

  • determine fund code "base" which is how the fund will be allocated to the selector
  • create fund codes using formula of BUDGET, BASE FUND CODE, MATERIAL TYPE
  • Update the Hierarchies in Sierra Funds
  • Update website
