Collection Management Procedures: Trials

Setting Up Trials

Trials are usually run during the middle-to-end of the semester to ensure use by our faculty, staff, and student researchers.

The Collection Development Librarian should coordinate the trial and subject specialists should refer vendors to the Collection Development Librarian when they are interested in trialing a product.

The Collection Development Librarian will

  • Notify the ERM Librarian so that the trial can be added to our ERM   
  • Notify the Outreach Librarian so the trial can be Tweeted, Facebooked, etc.
  • Notify the Liaisons so that they can participate
  • Notify the ERM Committee (some committee memebers are liaisons but not all are)

The ERM Librarian (or designated LA) will

  • Create a resource record using the TRIAL template in Sierra (if the resource record is created before the database URL has been added to ezproxy, it should be suppressed from public view until the URL has been added to the proxy server)
  • Notify Systems to add the resource to EZProxy (the request should include the dates of the trial)
  • Write up an announcement about the trial to go on the library's home page and pass it on to the Web Librarian to post online (the announcement should contain a link to the resource and a JPEG image of the provider's logo)

At the end of the trials, someone from the ERM Team will collect stats for the ERM committee.

The ERM committee will meet to discuss the product and to collectively fill out the ERM Review Form.
